Financial report & Return submission
FCRA return for the F.Y. 2021-22 has been submitted. The Annual return of Society Registration submitted on October, 2022 but the office needs some more clarifications and documents. Treasurer with the Auditor is making arrangements to submit the clarifications.
GAABESU is processing online payment gateway Razor pay. To open the account GAABESU PAN card name has to be changed. We processed to change the PAN Card name but the PAN card number is indicating our organization as a Trust and not as an Association. So, we have to surrender the existing PAN Card and apply for a new One.
A new demand notice from I T Department received on 12th January 2023. The Treasurer and the Auditor met with the ITO on 23rd January 2023 and took necessary action.
Update on Membership drive
To increase the membership and for the ease of subscription transfer, the subcommittee proposed for an online payment gateway like Razor pay. But due to KYC not going through (for PAN card issue) the payment gateway option did not work out. All EC members are requested to bring one new GAABESU member within 31st March. Many EC members have not attended EC meetings regularly. It was proposed that a reminder email will be sent to them to attend the next EC meeting and further actions are planned.
Hasan Sk reported that the subcommittee will send the email to all chapter’s representatives shortly to increase membership growth.
Update on Scholarship & AFE Award 2022-23
This year 145 applications for scholarships, 13 applications for Research Award and 19 applications for AFE have been received. The interview will be held from 30th January to 2nd February. Scholarship interviews will be held online and AFE will be held physically.
Update on Alumni Day 2022
After 2 years of restrictive situation, GAABESU organized the 9th Alumni Day-2022 as a physical event again, at the Flag hosting ground at IIEST Campus (opposite of the 1st lobby) on December 25th, 2022. Total registration was 183 and total attendances of alumni with family members were 278.
On 24th December a Panel Discussion was successfully held virtually between 7 p.m. to 9 p.m. The subject of the panel discussion was “Engineering and Engineering Education in the 21st Century – Repositioning of IIEST”.

Progress on NIRF Ranking support to IIEST/ Chairman BOG meeting update
GAABESU will conduct a meeting with the GAABESU NIRF team internally within a week. After the internal meeting a recalibration meeting will be arranged with the new NIRF team of the Institute. GAABESU team will prepare the Road map and DPR. The NIRF team will take willing volunteers from the 25 team members, take the ideas and will execute those possibilities. The team will prepare a document and hand it over to IIEST before 2 months of next NIRF ranking announcement. The DPR should be ready by April 2023.
We are working on parallel initiatives with the aim of improvement of NIRF ranking of our Alma Mater where institute’s support is the prime importance for those initiatives.
A group of alumni, during November 2022 met the Chairman of Board Of Governors to discuss De-centralization of Administrative Processes, BESU to IIEST Conversion gaps , Academic and Other Infrastructures , Proper maintenance of existing infrastructures, Funding and their utilization plan, Faculty recruitment and filling up of Key administrative positions , Lack of Fellowship nominations , and other related matters .
Closing comments from BOG Chairman Dr. V K Aatre include
- A Joint Committee – Institute and GAABESU to come up with projects for which institute require alumni help
- Emphasize on having alumni representatives in BOG
- More institute GAABESU collaboration for future development of institute thus raising National and Global ranking
- Advising institute to develop effective coordination with GAABESU for accelerating fund mobilization and utilizing expertise of alumni in planning and mentoring activities
- Institute facilitating Global Alumni Day and other similar activities in the campus
MOA revision and submission
An amendment of MoA was placed in the AGM 2022 for general members’ approval. The MoA approved and a comparison sheet was prepared. At first, we have to submit form V for Notice of the amendment of the MoA. After permission from the Society registration office, we will submit Form IV for amendment. After submission of the Annual Return, we can submit the Form V.
New EC Election modalities finalization
In the last Election of EC, it was decided that the election would be held Electronically in online platform. This software conducts the Election electronically. It was tested with some IDs. For security purposes, a combination of email ID and phone number have been checked. For next EC9 Election (2023-25), members would be informed vide Notice that this year the election will be conducted on an online voting platform.
GAABESU Seminar update
GAABESU has held 3 Sustainability Seminars in collaboration with ADI Associates, a physical one in January 2020 and 2 virtual ones in January 2021 and 2022. The seminar sub- committee will talk with Arup Bhattacharyya (ADI Associates) for next seminar.
Prof. P K Roy Memorial lecture & Paramesh Ranjan Dhar Debate competition
“Prof. P K Roy Memorial lecture “& “Paramesh Ranjan Dhar Debate competition” will be held in this year. Due to pandemic situation the Lecture programme & Debate competition were postponed for 2 years.
P K Roy Memorial lecture will be held on 8th February, 2023 at 4.30 p.m. at Seminar Hall at the Civil Engineering Department. The speaker Prof. Sriman Bhattacharya was selected in 2020, who agreed to deliver the lecture in this programme. Prof. Bhattacharya will talk on "Sustainable Development Goals - are we the Civil Engineers Ready?"
